Job Description

This is not a traditional Executive Assistant role.
Reporting to the Chief Member Experience Officer (CMXO), you will operate as a trusted advisor and project coordination point across the Membership Experience division, spanning Membership, Sector Growth, Learning & Events, Services and Marketing.
You will bring structure, visibility and momentum to divisional priorities, ensuring strategy is translated into clear plans, progress is tracked, and executive decisions are implemented effectively. Your work enables the CMXO to focus on strategic leadership while you drive operational discipline behind the scenes.
Key responsibilities:
Partner with the CMXO to coordinate divisional priorities and translate strategy into clear, actionable plans
Prepare high-quality executive, ELT and Board briefings and reporting
Track progress, risks and dependencies across the Membership Experience portfolio
Coordinate planning cycles, quarterly reporting and performance reviews
Ensure governance, documentation and approvals are timely and high quality
Monitor actions arising from leadership meetings and support follow-through
Provide coordination and research support for growth initiatives and business cases
Collate and synthesise member insights to inform planning and decision-making
Desired Skills and Experience
Selection Criteria:
Demonstrated experience supporting senior executives in complex environments.
Strong organisational, coordination and project tracking capability.
High-level written communication and briefing skills.
Sound judgement, discretion and ability to manage competing priorities.
Strong stakeholder engagement and influencing capability.
Experience in membership-based, peak body or NFP environments desirable.
Qualifications & Experience
5–8+ years’ experience supporting senior executives (Executive Director / GM / C-suite level) in complex, multi-stakeholder environments.
Demonstrated experience operating beyond traditional administrative support, including coordination of strategy, reporting, governance or project delivery.
Experience preparing high-quality executive and Board-level briefing materials and reports.
Proven ability to manage competing priorities, track multiple initiatives and support delivery across diverse teams.
Relevant tertiary qualifications in business, communications, governance, public administration or a related discipline desirable; or
Project management or governance training (formal or informal) highly regarded.
Exposure to budgeting processes, performance reporting or commercial environments advantageous.
Experience working within a peak body, membership organisation, or not-for-profit with commercial operations.
Experience in aged care, health, community services or NFP sectors desirable.
Strong work ethic and work history that would evidence commitment to Ageing Australia values and a genuine passion for aged care
